Sentinel Football Hub is a cloud-based club management and player development platform built for South African football clubs at grassroots, amateur, and semi-professional levels. Depending on your subscription tier, the platform may include:
Feature availability is determined by your active subscription tier. Tier features are described on our club plans page and are subject to change with reasonable notice.
We provide the Platform on an "as-is" basis with commercially reasonable availability. We target 99.5% uptime but do not guarantee uninterrupted service. Planned maintenance will be communicated in advance where possible.
To register a club, you must provide accurate information including club name, club type, and an email address for the Club Admin. By registering, you confirm that:
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must notify us immediately at stokeswallerq@gmail.com if you suspect unauthorised access to your account.
Club accounts support three role levels: Admin, Coach, and Viewer. Role permissions are defined within the platform. The Club Admin is responsible for all activity by all users under the club account.
Each email address may be used for one club registration. If you wish to register multiple clubs, each requires a separate admin email address. Contact us to discuss multi-club arrangements.
We offer four standard tiers: Free, Basic, Pro, and Elite. All new registrations start on the Free tier regardless of which tier was selected during registration. Paid tier activation occurs after payment is confirmed and processed by our team.
We offer custom module packages and custom development engagements for clubs with specific needs. Custom pricing is agreed individually and documented in a separate Order Form or statement of work.
We may change subscription pricing at any time. For existing subscribers on paid plans, we will provide at least 30 days' written notice (by email to the Club Admin) before any price increase takes effect. You may cancel before the change takes effect without penalty.
Each tier is subject to reasonable fair use limits on storage, API calls, and user accounts as described on the pricing page. We reserve the right to contact clubs that materially exceed reasonable use for their tier.
Payments are processed by Paystack, a South African payment gateway. By providing payment details, you agree to Paystack's terms of service and privacy policy. We do not store your payment card details. All transactions are in South African Rand (ZAR) unless otherwise specified.
Paid subscriptions are billed monthly or annually as selected. Annual plans are billed upfront for the full 12 months. Billing begins on the date your paid plan is activated.
If a payment fails, we will notify you by email. We will retry the payment up to three times over seven days. If payment cannot be collected, your account will be downgraded to the Free tier and access to paid features will be suspended until payment is received.
Paid subscription fees are non-refundable except as required by law. If you cancel a paid annual plan within 7 days of the billing date and have not materially used the paid features during that period, you may request a pro-rata refund for the unused months. This does not affect your rights under the Consumer Protection Act or ECT Act cooling-off provisions (see Section 6).
All prices are exclusive of VAT. If VAT applies to your subscription, it will be displayed on your invoice and charged at the applicable rate.
The Free tier is available indefinitely. There is no obligation to upgrade. We reserve the right to modify or discontinue the Free tier with 60 days' notice. Free tier accounts that have been inactive for 12 consecutive months may be archived and their data deleted after 30 days' notice to the Club Admin email on record.
Under Section 44 of the Electronic Communications and Transactions Act 25 of 2002, you have the right to cancel an online purchase within 7 days of the transaction without reason, provided you have not used the paid service. To exercise this right, notify us in writing within 7 days at stokeswallerq@gmail.com. We will refund the amount paid within 30 days of receiving the cancellation notice.
You may cancel your subscription at any time from within the platform settings or by contacting us. Cancellation takes effect at the end of the current billing period. You retain access to paid features until the end of the period you have paid for. Your data is retained for 30 days after cancellation, during which you may request an export. After 30 days, your data is permanently deleted.
We may suspend or terminate your account with 14 days' written notice for any reason, or immediately without notice if: (a) you materially breach these Terms; (b) you use the Platform for illegal purposes; (c) you provide false registration information; or (d) continued operation poses a risk to other users or our systems. We will refund any unused prepaid subscription fees if we terminate without cause.
Under POPIA, the Club is the Responsible Party for all player data it enters into the Platform. Sentinel processes player data as the Operator (data processor) on the Club's instruction. The Club is solely responsible for:
Important: By accepting these Terms, the Club confirms that it has obtained or will obtain all necessary consents before entering player personal information into the Platform. Clubs that fail to obtain proper consent expose themselves to liability under POPIA. Sentinel accepts no liability for the Club's failure to obtain consent.
As an Operator processing personal information on your behalf, Sentinel provides a Data Processing Agreement as a separate document (available at our DPA page). Accepting these Terms also constitutes agreement to the DPA as required by POPIA Sections 20-21.
You agree not to use the Platform to:
The Club owns all player data and club data that it enters into the Platform. Sentinel does not claim any ownership right over your data. We will not use your club's or players' data for any purpose other than providing the Platform to you, unless we have your explicit consent or are required by law.
Many South African football clubs include players under the age of 18. POPIA Sections 34 and 35 impose special obligations on the processing of children's personal information.
The Club must obtain consent from a "competent person" — a parent, legal guardian, or person with parental responsibility — before entering any player's personal information into the Platform if that player is under 18. This consent must be:
By accepting these Terms, the Club confirms that it has a process in place to obtain and document parental consent for all minor players and that this process complies with POPIA. Sentinel may request evidence of consent practices during its standard compliance reviews.
As Operator, Sentinel will: process minor player data only on the Club's instruction; not use minor player data for any purpose other than providing the Platform; apply appropriate security measures to minor player data; and notify the Club promptly if we become aware of any breach involving minor player data.
The player analysis service allows individuals (or parents/guardians on behalf of minor players) to purchase professional match analysis and player development reports produced by PFSA-certified analysts. Analysis is delivered as a PDF dossier within the agreed timeframe.
If the player for whom analysis is being purchased is under 18, the purchaser confirms at the time of purchase that they are the player's parent or legal guardian and that they consent to the player's match footage and personal information being processed for the purpose of producing the analysis report.
By submitting match footage for analysis, you confirm that: (a) you have the right to share the footage; (b) the footage does not infringe the rights of any third party (including opposing clubs, broadcast rights holders, or other players); and (c) you consent to our analysts viewing and analysing the footage. We retain submitted footage for a maximum of 12 months from the date of order, then delete it.
Important disclaimer: Player analysis reports are professional observations intended to support player development. They are not medical diagnoses, fitness certifications, or talent guarantees. Coaching and selection decisions remain entirely the responsibility of the coach, club, or parent/guardian. Sentinel and its analysts accept no liability for decisions made on the basis of a player analysis report.
Standard analysis is delivered within the timeframe specified at the time of purchase. Delivery timeframes are estimates and may be affected by footage quality, footage length, and analyst capacity. We will notify you if delivery will be materially delayed.
Once analysis work has commenced, orders are non-refundable. If we are unable to complete an order (e.g., footage is unusable), we will offer a full refund. The 7-day ECT Act cooling-off applies to orders where analysis work has not yet commenced.
All software, design, branding, trade marks, and content comprising the Platform are the intellectual property of Sentinel SportsTech (Pty) Ltd or its licensors. These Terms do not grant you any ownership of Platform IP. You receive a limited, non-exclusive, non-transferable licence to use the Platform for your internal business purposes during your active subscription.
You retain full ownership of all data you upload or create in the Platform, including player data, match reports, session records, and uploaded media. By uploading content, you grant Sentinel a limited licence to store, process, and display that content for the purpose of providing the Platform to you. This licence ends when you delete your account and all data has been purged.
Player analysis reports produced under the Analysis Service are delivered to the purchasing customer for their personal and non-commercial use. Sentinel retains no ongoing claim over delivered reports. Reports may not be reproduced, redistributed, or sold to third parties without our written consent.
If you provide feedback, suggestions, or feature requests, you grant Sentinel a perpetual, irrevocable, royalty-free licence to use that feedback to improve the Platform. We will not identify you publicly in connection with feedback without your consent.
To the maximum extent permitted by South African law, Sentinel's total liability to you for any claim arising under or in connection with these Terms (whether in contract, delict, or otherwise) is limited to the total subscription fees you paid to Sentinel in the 12 months preceding the event giving rise to the claim.
We are not liable for: loss of profits; loss of revenue; loss of data; loss of goodwill; indirect, incidental, or consequential loss; or any loss arising from your reliance on the Platform for match selection, player development, or sporting performance outcomes.
Sentinel accepts no liability for sporting decisions. All coaching decisions, player selection decisions, training programmes, and performance assessments are the sole responsibility of the club, coach, or parent/guardian. The Platform is a tool to assist decision-making — it does not make decisions. We expressly disclaim any liability for decisions or outcomes arising from use of player data, analysis reports, or any other output from the Platform.
The Platform is provided "as is". We make no warranty that it will be error-free, uninterrupted, or fit for any particular purpose beyond the general description of features provided at the time of your subscription. We are not liable for data loss resulting from platform outages, provided we have implemented reasonable backup and recovery procedures.
Nothing in this section limits rights you may have under the Consumer Protection Act 68 of 2008, the ECT Act, or POPIA that cannot be waived by contract.
These Terms are governed by the laws of South Africa. You consent to the jurisdiction of the South African courts for any dispute arising under these Terms.
Before initiating formal proceedings, you agree to contact us at stokeswallerq@gmail.com to attempt to resolve the dispute informally. We commit to responding within 10 business days. Many disputes can be resolved quickly and without cost through direct communication.
If informal resolution fails, either party may refer the dispute to mediation administered by the Arbitration Foundation of Southern Africa (AFSA) before proceeding to litigation. The parties will share mediation costs equally. Nothing in this clause prevents either party from seeking urgent interdict relief from a court.
If you are a consumer as defined in the Consumer Protection Act, you also have the right to refer a dispute to the National Consumer Commission or a relevant consumer tribunal.
We may update these Terms from time to time to reflect changes in the Platform, changes in law, or for other legitimate business reasons. When we make material changes, we will:
For non-material changes (e.g., clarifications that do not affect your rights), we may post a notice without 30 days' advance notice. Your continued use of the Platform after the effective date constitutes acceptance of the updated Terms. If you do not accept the changes, you may cancel your subscription before the effective date and receive a pro-rata refund for any unused prepaid period.
